Position description:

The Euro-Mediterranean Foundation of Support to Human Rights Defenders (EMHRF) is seeking to recruit a motivated and well-organised individual for the position of Grant Administrator, who will act as a bridge between the Programme Department and the Finance Department to ensure follow-up of commitments made to grant recipients and to donors of EMHRF. The ideal candidate will have prior experience in handling partnerships, excellent organisational skills and the ability to prioritise work.

 

Background:

EMHRF is a private foundation based in Denmark, established on 9 December 2004 (https://emhrf.org/).  The Foundation aims at providing flexible financial assistance to regional, national and local human rights NGOs and institutes as well as individuals who promote, support, protect and monitor the observance of human rights in the South-Mediterranean region. The EMHRF headquarters is in Copenhagen, and it has a sub-office in France. The Board, the highest authority of EMHRF, is composed of twelve volunteer members who are leading civil society representatives from the Euro-Mediterranean region. On average, the Board allocates 150 grants to civil society actors in the region each year.

 

Responsibilities:

Reporting directly to the Finance Director, and working closely with the Programme Department, the main duties of the Grant Administrator are as follows:

 

  1. Grant Management
  • Ensures comprehensive reporting and archiving of grant decisions as well as minutes from Board meetings, and monitors the implementation of grant decisions taken by the Board.
  • Ensures the collection, screening and archiving of relevant legal and administrative documents from grant recipients/partners, and the drafting of grant agreements according to language requirements.
  • Ensures the delivery of all grants according to schedule, in particular by preparing and supervising all documents required for bank transfers, and by preparing visits to/of grant recipients.
  • Completes and maintains a statistical database and map of grants, and any other specific database as required, from which quantitative and qualitative reviews on grants allocated by EMHRF and their results can be extracted and analysed.
  • Organises, as needed, translations and proofreading in relation to grant recommendations and agreements.

 

  1. Grant Reporting
  • Ensures daily internal reporting on the distribution and use of grants (updating of flash reports, allocating grants to specific donors according to contractual obligations, updating of dashboard with reporting deadlines and liabilities with grant recipients, etc.).
  • Facilitates the management of donors’ contracts (including updating and monitoring deadlines for reporting, preparing and responding to specific obligations, preparing audit samples on grants, etc.).
  • Provides regular updates, advice and support on grant reporting obligations to be settled, including reminding grant recipients of their reporting obligations.
  • Participates in and reports on grant officers/focal points/coordination meetings with donors and partners, particularly in Denmark, upon delegation from the Programme Director, and reports/follows up on decisions taken.
  • Assists the programme and finance departments in preparing specific donor reports on the grant activity and results.
  • Maintains and updates the database of contacts (donors, grant recipients, partners, etc.)

 

Education, experience, and skills required for the position:

  • A university degree in business administration, project management, or social sciences.
  • At least 3 years of relevant experience working in or with civil society in managing and reporting on partnerships.
  • Excellent writing and oral communication skills in English required, and knowledge of French and/or Arabic preferable.
  • Knowledge of grant management software and tools preferable (Fluxx, CiviCVR, Tableau or others) and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) required.
  • Excellent communication and interpersonal skills, with personal qualities of teamwork, integrity, credibility, and dedication to a non-profit mission.
  • Excellent organisational skills and ability to meet deadlines, to set priorities, and to coordinate work with other colleagues based in different locations.
  • Familiarity with digital security preferable.
